What posts in Inventory

Every document that moves stock or its value posts a voucher on Save, with its own journal. Requests, lists, setup, picking and quality orders post nothing themselves.

How an inventory voucher is built

Each stock line carries a movement, a debit or credit indicator, the item and the warehouse. On Save the voucher is built from the post keys set for that screen. For each post key the account is found in the inventory posting profile of the company: by post key, debit or credit, movement and the item's item posting group, and by warehouse when the profile names one (a warehouse line wins over a general one). The line's value is its quantity times its cost in the company currency. The site's financial dimension goes on each line.

Two screens take the offset from the journal instead: Inventory Movement (and its request) and Item Revaluation use the offset account the journal names for the movement, per item posting group. Cost Revaluation credits the account typed on its cost line.

When no account is found the save is refused: "Account is not configured in Posting Profile ... against Post Key ...".

Where the accounts come from

  • Inventory posting profile and post keys - in General ledger (Posting Profile and Process Post Key): the posting profile for the inventory posting category, and the post keys set for each Inventory screen.
  • Item posting group - on the item in this company: see Item In Legal Entity and Item Posting.
  • Journal movement offset accounts - on the journal, for Inventory Movement and Item Revaluation.
  • Closing Journal, inspection and subcontracting journals - on the Inventory Control Setting.

Documents raised by others

  • A goods receipt raises the vendor invoice (see Vendor Invoice); a delivery challan can raise the sales invoice (see Customer Invoice); Sales Return and Purchase Return raise the memo. Those post with their own journals.
  • A subcontracting receipt raises an Inventory Movement (components consumed) and a Cost Revaluation (their cost added).
  • A receipt for a project's purchase order can raise an Inventory Movement issuing the goods to the project.

Undoing a posting

Reverse on the toolbar of the posting document. The reversing document swaps every debit and credit and is dated on the reverse date. The reverse date must not be before the posting date and must be in an open inventory period. An Inventory Closing is undone with Reverse closing; an Item Revaluation cannot be reversed.
