How do I take back goods from a customer or send them back to a vendor?

Without a return order, use Delivery Return and copy the delivery challan or goods receipt: the same batch comes back at the same price. With a return order, use Sales Return or Purchase Return: the memo is raised from them.

Before you start

  • For an order-based return, the return order exists as a Sales Order of type Return Order or a Purchase Order of type Return Order.
  • For a Delivery Return, a journal with the customer-return or vendor-return movement.

Steps

  1. Against the document: open Delivery Return. Pick the journal (it decides customer or vendor), Site, Warehouse and the partner, Create, then copy the challan or receipt lines and type the quantity returned. Save.
  2. Against a return order: open Sales Return or Purchase Return, pick the partner and the return order, confirm quantities, Save.

Check it worked

  • Stock is back (or gone); the order's status is updated.
  • After a Sales Return, the customer credit memo exists when the Sales setting names a memo journal; after a Purchase Return, the vendor debit memo.

What posts

The return posts the stock movement back at the origin's price (Delivery Return), the return order's price (Sales Return) or the receipt's price (Purchase Return). See What posts in Inventory. Undoing it is Reverse, after reversing its memo.

If something looks wrong

  • "... cannot exceed Issuance Quantity: ..." / "... cannot exceed Receiving Quantity: ..." - more than is left to return.
  • "... Return Quantity: ... cannot exceed Balance Quantity: ..." - more than open on the return order.
