The order to set up a company

Each area's setup screens point at records another area owns. A vendor group points at ledger accounts; an item points at a warehouse; a purchase order points at both. Set the areas up in this order and every lookup has something in it.

The detailed walk of the first two steps, screen by screen, is Set up a new company.

The order

  1. Company setup. Client, then Company, then the organizational structure (business units and areas, departments, responsibles, units), then the sales and purchase organizations. Then numbering (Number Range and Process Number Range), the password rule, and roles and users. Leave approvals and alerts for the end. Pages: Create a company, Number documents, Set the password rule, Create a user.
  2. General ledger. Financial calendar and financial year, currencies and exchange categories, the account grouping, dimensions and structure, the ledger setup, then the accounts themselves in each company. Then transaction journals, post keys and posting profiles, which decide where every other area's documents post. Taxes and withholding tax last. Pages: Set up the ledger, Build the chart of accounts, Set up a transaction journal, Set up sales tax, Set up withholding tax.
  3. Cash and bank. Banks and bank accounts, the bank transaction types and the Cash Bank Setting. Budgets, if the company controls spending, once the ledger accounts exist. Pages: Set up banks and bank accounts, Set up a spending budget.
  4. Receivables and payables. Each area's setting for the company, payment terms and payment methods, customer and vendor groups, then the customers and vendors themselves in each company. A vendor needs a Currency on its company record before it can be picked on an invoice. Pages: Set up receivables, Set up payables.
  5. Inventory. Inventory Control Setting, sites and warehouses (including in-transit and vendor warehouses), the stock journals' movements and the inventory posting profile, then quality control if used. Page: Set up inventory for a company.
  6. Products. Item posting, item valuation, storage and tracking structures, item groups and the Product Information Setting, then the items and their release to each company. Then pricing periods, pricing groups, discount categories and pricing profiles. Pages: Create an item, Set sales and purchase prices.
  7. Warehouse. Storage locations inside each warehouse, once warehouses and the items' storage structure exist. A third-party warehouse, once its customers exist in Receivables. Pages: Set up storage locations, Set up a 3PL warehouse.
  8. Purchasing and sales. Each area's setting, order journals, groups, origins and categories, after vendors, customers, items, warehouses and the posting profile exist. Pages: Set up purchasing, Set up sales for a company.
  9. Manufacturing. The manufacturing setting and its journals, manufacturing units with their lines, operations, routings, then bills of material or formulas. Page: Set up manufacturing.
  10. The other areas, as the company needs them. Service management, expense claims and the sales pipeline, real estate, fixed assets and project accounting. Each needs the ledger and its own area's masters first.
  11. Approvals, alerts and opening balances. Once documents can be saved, add approvals and notification rules (Set up an approval). Then bring in the opening position: ledger balances, open vendor invoices, opening stock and existing assets.
