Inventory Control Setting

One record per company. It decides which optional columns appear on the lines of stock documents, which journals quality inspection, subcontracting and the inventory closing post with, and how the inventory board bands fast and slow movers.

What it is for

Many inventory screens read this record when they open. If there is no record for the company, the optional columns stay hidden and the quality and closing postings have no journal.

The one rule people get wrong: Backdate Entries and Backdate Limit (Days) on this screen do nothing. How far back a stock document may be dated is set on its journal (see Transaction Journal).

Every field in plain words

These switches show or hide a column on the lines of Inventory Adjustment, Adjustment Request, Inventory Movement, Inventory Movement Request, Item Issue to Picking List, Purchase Return, Purchase Arrival and Delivery Confirmation (and, for Item Variant and Special Indicator, the receipts and transfers as well).

Stock movement bands

Fast Moving Up To (Days), Medium Moving Up To (Days) and Slow Moving Up To (Days) are read by the stock tiles of the Inventory board (fast, slow and not moving items). They change nothing on a document.

Inventory financial dimension

Inventory Financial Dimension Required and Inventory Financial Dimension Help decide whether Site shows its financial dimension block, and which dimension it shows.

Recorded only

Backdate Entries, Backdate Limit (Days) and Create Retest Orders Automatically are kept on the record. No inventory document reads them.

Grids

GridWhat it holdsEffect
Field ValuesPer process code and field: a default Value, and Mandatory, Disable, HiddenApplied when that screen opens for this company: the field starts filled, must be answered, is greyed or is not drawn. A user's own default replaces it for that user
Auto MovementsMovement, site, warehouse, Auto Issue, Auto Issue Journal, Auto Issue Movement, Auto PlanRecorded only. The code that would have used it is switched off
Special ValidationProcess code and validationRecorded only. Nothing reads it

How to configure it

  • Create the record once for each company before the first document.
  • Tick only the line columns the client uses: fewer columns, fewer mistakes.
  • Name the Closing Journal before the first month end.
  • Use Field Values to default a field, for example the journal on Inventory Adjustment, for the whole company.

Scenarios

  • A trader with no variants, no locations. Leave every Required box unticked. The lines show item, quantity, site and warehouse only.
  • A food company that keeps quarantined stock apart. Tick Required Stock Status, so the status can be chosen and seen on lines.

What it is connected to

If something looks wrong

  • "Back date not allowed" although Backdate Entries is off here. The check is on the journal of the document, not on this screen.
  • A column such as Stock Status never appears. The matching Required box is off, or the company has no setting record.
  • The record cannot be saved twice for the same company. Only one setting per company is allowed. Open the existing one.
