Item Transfer

The one-step transfer. Stock leaves the From warehouse and arrives in the To warehouse in the same Save. Lines can be typed, or copied from an Item Transfer Request or from a subcontracting purchase order's components.

When
When stock moves between stores that are close enough not to need a shipment
Needs first
A transfer journal whose movement names its reverse movement; stock in the From warehouse

What it is for

It moves stock without a stop in between. Behind the transfer, one stock document is posted: each line goes out of the From place on the transfer-out movement and comes in at the To place on its reverse movement, at the same cost. Each side carries its own site's financial dimension, so a transfer between two sites shows in each site's accounts.

The one rule people get wrong: From and To cannot be the same place, on the header or on a line. And a transfer cannot be edited after Save; reverse it.

When stock must travel and be received separately, use a Transfer Order instead.

Toolbar

  • Copy from request and Copy from subcontracting order - bring in open lines.
  • On hand - shows, per site and warehouse, the stock available, picked, reserved, available for use and on order.
  • Transfer return - sends back part of what this transfer moved: a new transfer the other way, for the quantity typed, not more than still left.
  • Open voucher.

What happens on Save

  • A line copied from a request cannot move more than the request still has open, unless the item allows over-transfer, and then not beyond its tolerance percentage. The same applies to subcontracting components.
  • Stock moves and the voucher posts.
  • When the transfer feeds production, quantity reserved for the manufacturing order beyond what was transferred is released.

Scenarios

  • A pharmacy chain topping up a shop from the central store. The shop raises a transfer request; the store copies it into an item transfer.
  • A garment maker sending fabric to a stitching unit. Copy the components from the subcontracting purchase order into a transfer to the vendor's warehouse.

What it is connected to

If something looks wrong

  • "Header Storage Structure From and To cannot be same" / "Line ID: ... Storage Structure From and To cannot be same"
  • "Basic Data - Line ID: ... - Movement Quantity cannot be negetive or zero"
  • "Basic Data - Line ID: ... - Stock Status can not be empty"
  • "Line ID: ... - Batch Number is mandatory" - the journal asks for the batch.
  • "Line ID - ... Custodian Indicator cannot be Empty" / "... Custodian cannot be Empty" - a vendor's or customer's warehouse is involved.
  • "Basic Data - Item ... Required Quantity: ... cannot exceed Balance Quantity: ... in Item Transfer Request: ..." - and the same with "plus Over Transfer Tolerance Quantity" when the item allows over-transfer.
  • "Line ID: ... - Movement quantity cannot be greater than balance quantity." on Transfer return.
  • "Basic Data - Item (...) ... Stock not available ..." - not enough in the From warehouse.
