Quality Inspection Order

One inspection of one batch. A receipt or a production receipt of an item that needs quality raises it by itself; the stock waits in quality status. The inspector enters the results; when the order is released, the batch becomes open stock if it passed, or rejected stock if it failed.

Where
Inventory › Quality Control › Quality Inspection Order
Who uses it
The quality inspector, the quality manager who releases
When
After each receipt of an item that needs inspection, and when a batch is due for retest
Needs first
An inspection group with its inspections; a quality point for the item

What it is for

It stands between receiving and using. The order comes filled: item, batch, dates, potency, inspection quantity, the inspection group and its sampling instruction, and the release quantity (the inspection quantity less the sample, by quantity or by percentage).

How the result is worked out: every inspection marked Required Mandatory in the group counts. A Range inspection passes when the value lies inside the range; a Value inspection when it lies within the tolerance percentages around the required value; an Option inspection when the chosen option is marked Accepted; a Yes/No inspection when it is Yes. A line accepted by hand passes. The order passes when every mandatory inspection passed.

The one rule people get wrong: nothing happens to the stock until the order is released (and approved, where an approval is set up). Saving the results alone leaves the stock in quality status.

Inspection lines

Each inspection of the group, with the value found. A mandatory inspection left empty is refused: "Inspection ... cannot be empty".

Composition

For a batch that is later split: the items it is made of, with quantity and percentage. The percentages cannot add up to more than 100. Inventory Split suggests its lines from the latest passed composition.

What happens on release

  • Passed: the batch's stock becomes open and usable. Failed: it becomes rejected.
  • For a purchase or production inspection, the receipt line is updated; for an inventory retest, every line of the batch.
  • When there is a sample, it is issued with the Inspection Consumption Journal of the Inventory Control Setting; a retest moves stock with the Inventory Inspection Journal.
  • A retest order raised for an item whose tracking structure does not say "order only" puts the batch back in quality status as soon as it is created.

What it is connected to

If something looks wrong

  • "System Batch number cannot be empty"
  • "sampling value cannot be negative", "sampling value cannot be greater than 100 %", "sampling value cannot be greater than Inspection Quantity "
  • "Inspection ... cannot be empty" - a mandatory inspection has no value.
  • "Composition total percentage cannot be greater than 100"
  • "Please Define Issuance Journal in Setting" - the inspection journals are missing on the Inventory Control Setting.
  • The batch is still in quality after Save. Release the order.
