Purchase Arrival
A note that goods on a purchase order have arrived, before anyone counts them into stock. It checks the quantities against the order and keeps the vendor's delivery note number. It moves no stock and posts nothing.
What it is for
Some clients log arrivals at the gate and receive into stock later. The arrival is checked against what is still to arrive on the order, so the same quantity cannot arrive twice.
The one rule people get wrong: the arrival is not a receipt. Stock goes up only with Item Receipt for Purchase Order.
Every field in plain words
| Field | What it means | What to put |
|---|---|---|
| Posting Date | The arrival date | Required |
| Receipt Date, Receipt Number | The vendor's delivery note | Required |
| Site, Warehouse | Where it arrived | Site required |
| Vendor | The supplier | Required |
| Purchase Order | The order | Picked from the vendor's orders |
| Notes | Free text | |
| Purchase No, Name | The order line | |
| Movement Quantity | What arrived | Within what is still to arrive on the order line, plus its over-delivery percentage |
| Batch and certificate fields | As on the receipt | Recorded |
The arrival can be edited and deleted. It cannot be reversed: there is nothing to undo.
What it is connected to
- Purchase Order - the order arrived against.
- Item Receipt for Purchase Order - the actual receipt.
If something looks wrong
The same order checks as the receipt: "Basic Data - Item ... Required Quantity: ... cannot exceed Balance Quantity: ...", "... Cannot Over Deliver more then ...%", "Partial Delivery is not allowd on Purchase Order - ...", "Basic Data - Line ID: ... block from Purchase Order: ...".
