Maintenance Pricing Agreement

A maintenance pricing agreement is the rate card for service charges: for a project and property, and optionally one class of unit, a charge of a category, a price, the dates it runs between and how often it recurs.

What it is for

Maintenance Billing Proposal and Bulk Maintenance Billing Proposal read these lines to bill owners. A line applies to a unit when its project and property match and its date range holds the billing date, and its Property Category, Property Type and Property Sub Type are each empty or equal the unit's. The bulk run also matches Unit No and Phase; the single-unit proposal does not.

The one rule people get wrong: two lines for the same category and the same class of unit may not overlap in dates, even on different agreements.

How to configure it

Make one agreement per rate change. End the old line's Date To the day before the new line's Date From.

Scenarios

  • Apartments pay 5,000 a month, shops 8,000. Two lines with the same category, one per property category.
  • Security is billed quarterly. A line with Recurring quarterly.

What it is connected to

If something looks wrong

  • "Line ID: ... Price cannot be zero or negative", "... Date From cannot be empty", "... Date To cannot be empty", "... Date From and Date To cannot be Same", "... Date From cannot be greater then Date To", "... Recurring Type Cannot be empty". Complete the line.
  • "Lined ID: ... is duplicating with ... this document Line". Another agreement already has a line for the same category and units with dates that overlap. End it first.
  • Quarterly, half-yearly or yearly charges come out with odd counts and dates. Only monthly charges are billed one line per calendar month. For the longer periods the number of lines and their dates do not follow calendar quarters, halves or years. Check the lines a proposal offers before saving, and prefer monthly rates.
