What posts in sales
No document of the sales area posts. Quotations, orders, return orders, agreements, journals, closures and export shipments record intentions; the stock moves and the entries come from the Inventory and Receivables documents that follow them.
| Document | When | Debit | Credit |
|---|---|---|---|
| Sales Quotation, Sales Order, Sales Order Journal, Sale Agreement, Sales Order Closure, Outbound Shipment | Never | Nothing | Nothing |
Where the postings happen instead
| What happens | The document | Area |
|---|---|---|
| Goods leave stock against the order or the shipment | Item Issue To Sales Order | What posts in inventory |
| Goods come back against a Return Order | Sales Return | What posts in inventory |
| The customer is billed | Customer Invoice, raised by hand or by the issue | What posts in receivables |
| The customer is credited | Customer Invoice Memo, raised by hand or by the return | What posts in receivables |
| An advance is received against the order | Collection | What posts in receivables |
Where the accounts come from
Sales documents carry what those postings will use: the order's Posting Profile, the customer, the Tax Zone and Tax Group of each line, and, for a sale category line, the account of its category on the posting profile. The accounts themselves are set on the Posting Profile in General ledger and on the customer in Receivables (Customer In Legal Entity).
Undoing a posting
Reverse on the toolbar of the posting document: the issue, the return, the invoice, the memo or the collection. A sales order cannot be deleted while an issue, picking list, shipment or return refers to it; reverse those first.
Documents that never post
- Sales Order and Return Order. People expect an order to reserve money or stock in the books. It reserves stock only in the reservation records, never in the ledger.
- Outbound Shipment. It holds customs values and shipment costs; it posts nothing itself, although ledger entries made later can carry the shipment as a dimension.
- Promotions & Rewards. Free lines are ordinary order lines with a Special Indicator; the invoice decides what they post.
