How do I quote a customer and turn the quotation into an order?

Write the offer on Sales Quotation, release it, and when the customer accepts, use the next action to generate the Sales Order. Only quantities not yet ordered come across.

Before you start

Steps

  1. Open Sales Quotation and press New.
  2. Pick Account Type. Customer, then the customer; or Prospect, then type the name.
  3. Give Posting Date, Required Date and Date of Expiry, the site and warehouse. Create.
    • With Quotation Validity on the setting, Date of Expiry fills from the Posting Date.
  4. Add the lines: item, unit, quantity. Prices and discounts come from the customer's pricing and discount groups.
  5. Save to release (Save as draft keeps it a draft). Print the Sales Quotation report for the customer.
  6. When the customer accepts, open the quotation and use the next action to generate the Sales Order.
  7. Open the new Sales Order, check it, and Save to release it.

Check it worked

  • The message says the Sales Order was created; the order's lines point back to the quotation.
  • The quotation's Status becomes Won once every line has been ordered.

If something looks wrong

  • "Sales Quotation has not been approved. Sales Order creation is not allowed." - release the quotation first.
  • "Sales Order cannot be created for Account Type 'Prospect'. ..." - create the customer and put it on the quotation.
  • Several orders were created - the lines have different sites or projects; one order is made per site and project.
