How do I take back goods from a customer?
On Sales Order choose Sales Order Type Return Order, give the Return Reason, copy the lines from what the customer was invoiced, and Save. The Sales Return in Inventory then receives the goods, and can raise the credit memo by itself.
Before you start
- A Sales Origin line for the return Copy From source, see Sales Origin.
- A Memo Journal on the Sales and Distribution Setting, if the return should raise its credit memo by itself.
Steps
- Open Sales Order, press New and choose Sales Order Type Return Order.
- Pick the Customer and the Return Reason, the site and warehouse. Create.
- Copy the lines from the customer's invoices with Copy From, or type them.
- Quantities become negative by themselves.
- Copied lines carry the original cost; a typed item line with no cost takes the item's average cost.
- Save.
- Receive the goods on Sales Return in Inventory, against this Return Order.
Check it worked
- The Sales Return offers this Return Order.
- With a Memo Journal set, the Customer Invoice Memo appears in Receivables after the Sales Return is saved.
If something looks wrong
- "Sales Order - Line ID: ... - Please enter the return reason" - give the header Return Reason or one on the line.
- "Basic Data - Item ... Sales Quantity: ... cannot exceed Availiable Quantity: ... in Sales Invoice: ..." - you are returning more than was invoiced and not yet returned.
- "Line ID : ... Sales (...) cannot be removed. It was already referred in Sales Return." - the line has been received back.
