What posts in receivables
Four receivables documents post: the customer invoice, the customer invoice memo, the collection and the customer settlement. Batch Posting posts parked ones. Every other receivables screen is setup and posts nothing.
| Document | When | Debit | Credit |
|---|---|---|---|
| Customer Invoice | Save | Customer's receivable account, for the Net Receivable Amount | Each line's account; tax accounts; cost element accounts; rounding account |
| Customer Invoice Memo | Save | Each line's account; tax accounts | Customer's receivable account |
| Collection | Save | Collection Through accounts (bank, cash or holding); fee, adjustment and withholding tax accounts | Customer's receivable account for the amount cleared; exchange gain or loss |
| Customer Settlement | Save | Customer's account for the credits used | Customer's account for the invoices cleared; exchange gain or loss |
| Batch Posting | Save | Turns the parked vouchers of the ticked documents to Posted |
A document saved with Posting Status Park writes its voucher as parked. It becomes posted when the document is saved again as Posted, or through Batch Posting.
Where the accounts come from
- Customer's receivable account: the posting profile, picked on the document or on the customer (Customer In Legal Entity, Posting Profile), else the company's default. Posting profiles are set on Posting Profile in General ledger.
- Line accounts: the Account column of each invoice or memo line.
- Tax accounts: the tax codes' accounts on the posting profile (Posting Profile).
- Cost element accounts: Cost Element. A customer-ledger layer means the customer's account.
- Bank and cash: the account of each Collection Through line, filled from Payment Method.
- Fees and adjustments: Payment fee and Adjustment Type.
- Withholding tax: the withholding tax code's account on the posting profile.
- Rounding: the currency's rounding account.
Which side each amount goes to and how lines are grouped is laid out by the posting keys of each screen, set on Process Post Key in General ledger.
Undoing a posting
Reverse on the toolbar of the posted document, with a reverse date, a reason and remarks. The voucher is reversed and the document is kept, marked reversed. Collections that cleared an invoice must be reversed before the invoice. See How do I cancel an invoice or a collection that is already posted?
Documents that never post
- Customer, Customer In Legal Entity, Release Customer In Legal Entity: master data.
- Invoice Released: sends invoices to the tax authority; posts nothing.
- Payment Term, Payment Method, Credit Area, Credit Rule, Cost Element and the rest of setup: they decide what later documents post.
