What posts in the general ledger
Three general ledger screens post: General Entry, Process Allocation and Process Recurring Entry. Batch Posting turns parked vouchers to Posted. Every other module's posting document also ends up as a General Entry, built from its Process Post Key recipe and the company's Posting Profiles.
| Document | When | Debit | Credit |
|---|---|---|---|
| General Entry | Save with status Posted (a parked voucher posts on Batch Posting or on approval) | The accounts on its debit lines | The accounts on its credit lines |
| Batch Posting | Save | Nothing new: the ticked parked vouchers become Posted | |
| Process Allocation | Save | Each destination account of the rule, its share | The source account, its whole debit balance up to the Till Date |
| Process Recurring Entry | Save | The template's debit lines, on the Till Date | The template's credit lines |
| General Entry, inter-unit lines | Save of any voucher, when the ledger has a balancing dimension | The G70 account, for the unit in credit | The G71 account, for the unit in debit |
Where the accounts come from
- General Entry, recurring templates, allocation rules: the accounts typed on them.
- Inter-unit lines: the G70 and G71 lines of Automatic Transaction.
- Documents of other modules: the screen's Process Post Key recipe says which amounts post with which post keys; the Posting Profile of each line's category (sales, purchasing, inventory, sales tax, withholding tax, assets, payroll, fleet, real estate, general) gives the account. A recipe line may instead take the account from the document itself.
How a document of another module becomes a voucher:
The voucher takes the document's number, posting date, posting status, reference and header text, the journal's nature, indicator and user group, and is checked like any General Entry: balance, accounts, dimensions, budget, closed period. Editing the document rebuilds its voucher; reversing the document reverses its voucher.
Undoing a posting
Reverse on the toolbar of the document that posted. A General Entry is reversed by a new voucher with every line on the other side, dated the Reverse Date. Vouchers created by other screens cannot be reversed or changed on General Entry: reverse the document that created them.
A posted General Entry can be deleted only when Allow to Delete Posted Entries is ticked on Client Customization.
Documents that never post
- Financial Year Closing - a record only, no closing voucher.
- Every setup screen of the general ledger and tax: journals, accounts, currencies, rates, posting profiles, tax codes.
- A General Entry saved as Park, until Batch Posting or approval.
