What posts in service and maintenance
Only the service order confirmation reaches the accounts. Its Save issues the parts used from stock; its Invoice button raises parked customer invoices, which post when they are saved in Receivables. Every other screen of the area posts nothing.
| Document | When | Debit | Credit |
|---|---|---|---|
| Service Order Confirmation - goods issue of the utilized items (movement IIS054, on the Journal For Issuance) | Save of the confirmation | Service debit account of each item line's category | Stock, as Inventory posts a goods issue for the item |
| Customer invoice raised by Invoice on the confirmation, one per billable customer and one for the insurer (parked, on the Invoice Journal) | When the parked invoice is saved in Receivables | Customer receivable | Service credit account of each line's category, and the tax of the line |
| Customer invoice made from a service, fleet or towing billing proposal | Save of the invoice in Receivables | Customer receivable | As set for the invoice lines in Receivables |
When the service order carries a VOD amount, the customer's invoice and the insurer's invoice each carry a cost element line for it, from the two VOD cost elements of Service Management Setting.
Where the accounts come from
- Service debit account and service credit account: on each category, on Category in Company Setup. The service order fills each line's account from the category's service credit account when it is saved.
- Journal For Issuance, Invoice Journal, VOD Cost Element on Insurance and VOD Cost Element on Customer: on Service Management Setting.
- Customer receivable and tax accounts: in Receivables (What posts in receivables) and on the Posting Profile.
Undoing a posting
- The goods issue: delete the confirmation. Its goods issue is deleted with it. This is refused once an invoice (not reversed) exists for the service order.
- An invoice: Reverse on the toolbar of the customer invoice in Receivables. After that the confirmation can be deleted.
Documents that never post
- Service Order - prices the job; its release can create an item transfer request, a request to move the parts to the order's warehouse.
- Service Quotation, Service Agreement - offers only.
- Billing Proposal (service, fleet and towing) - prepares an invoice; the invoice in Receivables posts.
- Service Object Movement - its Category charges are recorded only.
- Fleet Maintenance Order, Fleet Maintenance Quotation - no stock issue and no posting.
- Maintenance Order, Maintenance Order Confirmation - no stock issue and no posting; issue spare parts with an inventory issue.
- Storage Order - charged through its billing proposal.
