Sales Organization

A sales organization is the part of a company that sells and answers for its sales: it is on every quotation, order and customer invoice. It names the journals its invoices are saved on and the sites it ships from.

What it is for

Sales organizations are kept per company. The pick list on sales documents shows only those of the company the user is in, and leaves out blocked ones.

The rule people get wrong: Invoice Journal and Invoice Memo Journal are used only when the sales setting splits automatically generated invoices by sales organization. Otherwise the setting’s own auto-invoice journal is used and these two fields are ignored.

Every field in plain words

General

Site

Site tab. Each line names a site the organization works from. When the grid has lines, exactly one must be ticked Default: that default site is the one the system uses when it raises an inter-company order for this organization.

ColumnWhat it meansWhat to put
SiteA site the organization sells from.Optional. Pick from the Site list.
NameIts name; fills itself and clears when the site is cleared.Optional.
DefaultThe organization’s default site. Exactly one when there are lines.Optional.
Line TextA note.Optional.

How to configure it

The screen allows import, so a long list can be loaded from a file instead of typed. Which fields are required, greyed, hidden or pre-filled for a company is set on Organizational Structure Setting, in its Default Parameters grid, and one user can differ through User Parameter Value.

Scenarios

  • A distributor sells from two warehouses but invoices from one office. One sales organization with both sites on the Site tab, the main warehouse ticked Default.
  • Retail and wholesale must have separate invoice series. Two sales organizations, each with its own Invoice Journal, and the sales setting set to break invoices by sales organization.

What it is connected to

If something looks wrong

  • “Site - atleast one site can be marked default” The Site tab has lines but none is ticked Default. Tick one.
  • “Site - only one site can be marked default” More than one site is ticked Default. Keep one.
