What posts in real estate and rental
Five real estate documents reach the accounts, three of them by creating customer invoices in Receivables. Sales agreements, ordinary billing proposals, ownership transfers, refunds, rental quotations and orders and every freight screen post nothing themselves.
| Document | When | Debit | Credit |
|---|---|---|---|
| Billing Proposal (IR), billing type Buy Back Sales | Save | The Collection Through account | Each line's payment category account, from the posting profile |
| Sales Agreement Periodic Invoices | Save: one customer invoice per line, or per buyer and agreement | The customer's receivable, as on any customer invoice | The account the invoice finds for the payment category, and tax |
| Maintenance Billing Proposal, and each one a Bulk Maintenance Billing Proposal makes | Save: a posted customer invoice with the proposal's number | The customer's receivable | The maintenance category's revenue account |
| Unit To Unit Transfer | Save, or approval where the screen has one | The paid amounts by payment category, on the From unit | The same amounts, on the To unit |
| Fund transfer, made by a Unit To Unit Transfer | Save of the transfer | An Adjustment billing proposal collected through the Fund Transfer Payment Method's account | The To agreement's instalment lines |
The buy back billing proposal and the unit transfer post through the posting keys set up for their screen. The table names the accounts each document carries on its lines; check the first journal of each against your posting key setup.
Where the accounts come from
- Payment category accounts: the posting profile's real estate lines, one per Payment Category.
- Maintenance revenue: the category used on the Maintenance Pricing Agreement.
- The maintenance invoice journal and the fund transfer payment method: Real Estate Setting.
- Receivable accounts: the customer, in Receivables. See What posts in receivables; real estate lines of the Posting Profile give each payment category its account.
How ordinary receipts reach the accounts
A Sales Billing Proposal posts nothing. The money is booked when the collection is saved in Receivables against the billing proposal. A Unit Refund is paid through a customer invoice memo in Receivables.
Undoing a posting
- Unit To Unit Transfer: Reverse on its toolbar, once posted and only while no new agreement uses it. It also makes the old agreement live again and removes the fund transfer billing proposals.
- Sales Agreement Periodic Invoices: once posted, Edit and Delete are disabled and Reverse is offered. Each invoice it made is an ordinary customer invoice in Receivables.
- Maintenance Billing Proposal: Delete removes its invoice; Edit and Save rebuilds it.
- Billing Proposal: cannot be deleted while a collection refers to it. Reverse the collection first.
Documents that never post
- Sales Agreement: a schedule of what the buyer owes.
- Ownership Transfer: changes the agreement's owners; its fees are collected through a billing proposal.
- Unit Refund: closes the agreement; the money goes through Receivables.
- Rental Quotation, Rental Order and the freight Shipment Order.
