Rental Order
A rental order confirms a hire: the customer, the period and the lines hired. Lines can be copied from the customer's rental quotations. It posts nothing.
What it is for
The order records the hire. On the lines grid a copy button opens the customer's rental quotations up to the Posting Date: pick a quotation, then its lines, and they replace the order's lines with item, quantity, unit, price, amount, hire dates, duration and a link back to the quotation line.
On Save each line's gross is Quantity times Price, less the line discount. Nothing is invoiced, issued from stock or posted from this screen.
The one rule people get wrong: Customer, Customer for Invoice, Currency, Exchange Date, Exchange Rate, Posting Date and Project are filled before Create and locked by it. Copying from a quotation brings the lines only, not the header.
Every field in plain words
The header has the same fields as Rental Quotation, except that the Site and Warehouse fields of the storage tab are not set up for this screen and never show, and the summary panel is not on it. Rental Order is the number.
Lines: Sales, Sales No, Name, Unit, Quantity, Date From, Date To, Duration, Duration Cycle, Price, Gross Amount, Discount %, Discount Amount, Net Price, Net Amount, Tax Amount, Amount Including Tax, Billing Units, Line Text, and the origin of a copied line.
How to configure it
Nothing specific.
Scenarios
- The events company's customer accepts the marquee quotation. New rental order for the customer, copy the quotation's lines, Save.
What it is connected to
- Rental Quotation supplies lines.
- Lists and reports prints it.
If something looks wrong
- "Customer Account cannot be empty" or "Customer Account for Invoice cannot be empty". Fill both before Create.
- "Sale Order Lines cannot be empty". Add or copy a line.
- "No Data selected in Lines" in the copy window. Tick at least one line.
- The Gross Amount on a line looks far too big while typing. While you type, the screen multiplies the price by the quantity twice. Save works the gross out again as Quantity times Price; check the line after saving.
