How do I track batches and expiry dates for an item?

Give the item a tracking structure with Tracking Option Batch, Require Batch Expiry Date and Enable FEFO, and, for automatic numbers, a batch group.

Before you start

  • Decide whether batch numbers come from the supplier (manual) or are made by the system (automatic).

Steps

  1. On Tracking Structure, set Tracking Option to Batch, tick Require Batch Expiry Date and Enable FEFO (or Enable FIFO). For system numbers tick Batch Number (Automatic).
  2. For automatic numbers, make a Batch Group: for example a constant line (CV) and a counter line (SR) with End Value 9999.
  3. On the item in your company, pick the Tracking Structure and the Batch Group. The tracking structure locks once the item has stock.
  4. Save.

Check it worked

  • Receipts ask for a batch and its expiry; issues pick the batch that expires first.
  • A manufacturing confirmation refuses a finished good without its batch data.

If something looks wrong

  • "Please Select Required Batch Expiry Date if you want to use FEFO Control" Tick Require Batch Expiry Date.
  • "FIFO Control and FEFO Control cannnot be marked simultaneously" Keep one.
