How do I post an approved expense claim to the ledger?
Open the approved claim and press Post This Expense: a Post Expense Submission is created, parked, with every line not yet posted. Open it, set Posting Status to Posted and Save. To post only some lines, raise the Post Expense Submission by hand and untick Accepted on the rest.
Steps
- Open the claim on Expense Submission and press Post This Expense. Confirm "Post this expense of 19,000.00?".
- The message "Post Expense Submission PEX-0001 has been created." appears and the new document opens.
- On Post Expense Submission, check the lines and the journal. It is parked: its voucher is written but not posted.
- Edit, set Posting Status to Posted, Save. Where an approval is set up for Post Expense Submission, send it for approval instead: approval marks it Posted.
Posting part of a claim. On Post Expense Submission press New, pick the claim in Origin Number, pick the Transaction Journal and Posting Status, Create. The claim's remaining lines come up; untick Accepted on those to leave for later. Save.
Check it worked
- Accounting on the toolbar opens the voucher, with the same number.
- On the Expense Submission list, the posted lines show the Post Expense Submission number.
What posts
| Document | When | Debit | Credit |
|---|---|---|---|

See What posts. Undoing it is Reverse on the toolbar: Reverse a posted expense.
If something looks wrong
- Post This Expense is greyed out. The claim is not approved, or every line is already posted.
- "No posting journal is configured for Post Expense Submission. ..." Add the journal default on Expense Management Setting.
- "Process Postkeys have not been configured in the system" The post keys of this screen are missing.
