Order Journal
An Order Journal names a kind of sales order: normal sales, samples, free replacement, scheme orders. A sales order or quotation picks one in its Order Journal field. The journal can carry a default Special Indicator that every new order line of that journal takes.
What it is for
Journals let the order desk say what kind of order it is writing, and let lists and reports sort orders by it. A journal with a default Special Indicator turns its order lines into, for example, free-of-charge lines without the user picking the indicator on each line.
The one rule people get wrong: the Special Indicator tab appears only on a journal created with Required Special Indicator ticked. Tick it before Create.
Every field in plain words
General
| Field | What it means | What to put |
|---|---|---|
| Order Journal | The journal code | Required, unique |
| Name | The journal name | Required, unique |
| Reporting Name | The name printed on reports | Empty takes the Name |
| Date From / Date To | The journal's period | Recorded. Date From cannot be after Date To. Orders do not check them |
| Required Special Indicator | The journal carries special indicators | Shows the Special Indicator tab, where Special Indicator is then required |
| Block | Stop using the journal | A blocked journal is not offered on orders |
Special Indicator
| Column | What it means |
|---|---|
| Special Indicator | An indicator lines of this journal may carry |
| Default | The one each new line takes |
On Save of a Sales Order with this journal, every line without its own Special Indicator takes the default.
The Dimension tab holds the journal's financial dimensions.
How to configure it
Create one journal per kind of order the client distinguishes. Give a default Special Indicator only to journals whose every line is special, such as free samples.
Scenarios
- A pharmaceutical distributor that sends free samples to doctors. A journal Samples with Required Special Indicator and the free indicator as Default. Sample orders need no price.
What it is connected to
- Sales Order and Sales Quotation - pick the journal.
- Order to cash.
If something looks wrong
- "Order Journal cannot be empty." / "Name cannot be empty." - fill both.
- "Date From cannot be greater than Date To." - fix the dates.
- "Same Journal already exists" / "Journal with the same name already exists" - the code or the name is taken.
- The inter-company purchase order journal cannot be set - the journal's Order Journal for purchasing is configured but not placed on the screen. An inter-company order then raises its purchase order with no order journal.
