Asset In Bulk
Asset In Bulk takes one purchase receipt and makes an Asset Master card for every line on it that was bought as an asset acquisition. For a group that is Serialized, each unit becomes its own card.
What it is for
When assets are bought through purchasing, the purchase order line carries the asset group and the receipt carries the quantity and price. This screen turns those lines into asset cards in one go, so nobody types them twice.
The rule people get wrong: this screen makes the cards only. Each card still has to be acquired into its book on Asset Acquisition before it has a value.
Every field in plain words
| Field | What it means | What to put |
|---|---|---|
| Transaction | The number of this conversion | Given on Create |
| Transaction Date | The date of the conversion | Required. Only receipts dated on or before it are offered |
| Origin Number | The purchase receipt to convert | Required. Pick a receipt of a purchase order that has asset acquisition lines |
| Notes | Anything to remember | Free text |
Lines
Filled from the receipt on Create. Every column is read-only.
| Column | What it means |
|---|---|
| Asset | The asset card made for the line, filled on Save |
| Name | The purchase line's description |
| Asset Group | From the purchase order line |
| Quantity | The quantity received |
| Unit | The unit received |
| Unit Cost | The net price of the purchase order line |
| Remarks | A note |
How to configure it
Nothing to configure. The asset group on each purchase order line decides the card's group, and Serialized on that group decides whether a line becomes one card or one card per unit.
Scenarios
- Twenty monitors received on one line, group Serialized. Save makes twenty cards of quantity 1.
- A generator received on one line, group not Serialized. Save makes one card with the received quantity.
What it is connected to
- The purchase order and its receipt in purchasing and inventory: see Purchase Order and Item Receipt for Purchase Order, and the Procure to pay process.
- Asset Master - the cards it makes, each naming the receipt as Origin Number.
- Asset Acquisition - the next step for every card.
If something looks wrong
- "There is no Asset to create". The receipt has no line bought as an asset acquisition. Check the purchase order line's type.
- "Every Asset needs an Asset Group, a Description and a Quantity". A purchase line has no asset group, no description or no quantity.
- "... of ... is already converted to Assets in ...". That receipt line was converted before, on the document named. The lookup can still offer the receipt; the save refuses it.
- The receipt cannot be reversed afterwards. A card names it as its origin. That is by design.
