Request For Quotation Status Change

When a Sales Quotation's status may only change with approval, the quotation does not change. It raises one of these requests instead, which goes to the approvers. When the request is approved, the quotation takes the requested status and a line is added to its status history.

What it is for

The request carries who asked, for which quotation and customer, from which status to which, and why. It exists so a move such as Open to Lost, or a reopening, can need a manager's yes.

The one rule people get wrong: a new request replaces the old one. Saving a request for a quotation rejects and blocks every earlier, not yet approved request for the same quotation and takes it off the approvers' lists.

You do not normally type a request: the quotation fills it in when Change Status needs approval.

How to configure it

  • In the Quotation Status grid of the setting, tick Based On Approval on the moves that need it.
  • Set up an approval on this screen with the approvers. With no approval set up, Save changes the quotation's status at once.

Scenarios

  • Marking a big quotation Lost needs the sales manager. The salesman uses Change Status on the quotation, picks Lost and gives a reason. The manager approves the request, and the quotation becomes Lost.

What it is connected to

If something looks wrong

  • The request disappeared from the approver's list - a newer request for the same quotation replaced it.
  • The quotation's status did not change - the request is waiting for approval, or was rejected.
