How do I return goods to a vendor?

On Purchase Order, pick Purchase Type RO, the vendor, Create, and copy the lines from the original purchase order with the Purchase Order button. Quantities on a return order are negative. Save. The warehouse then sends the goods back against it.

Steps

  1. Open Purchase Order, New, Purchase Type RO, the vendor, Posting Date, Currency. Create.
    • The Return Information columns show; Required Date, the budget checks and the copy buttons for requisitions, agreements and journals are hidden.
  2. Press Purchase Order on the lines and pick the original order's lines.
    • Purchase and Unit cannot be changed on a return line.
    • Return Cost Price and Special Indicator can be typed only on a line not copied from an order.
  3. Fill Return Reason and Return Action per line, and the quantity to send back, as a negative number.
  4. Save.

Check it worked

  • The return order is on the Purchase Order list with Purchase Type RO. The warehouse's purchase return takes its lines (see Purchase Return).

If something looks wrong

  • "... Quantity cannot be zero or greater then zero". A return quantity must be negative.
  • "Basic Data - Item ... Purchase Quantity ... cannot exceed Availiable Quantity ... in Purchase Invoice". A line copied from a vendor invoice cannot return more than was invoiced and not yet returned.
  • "... cannot be removed. It was already referred in Purchase Return." The goods have gone back on that line.
