Time Sheet
A Time Sheet records the hours resources worked, for a range of days or for time slots within one day. Each line is one resource; each column is one day or one slot. On Save the hours are written out one line per resource per day or slot, which is what the project's Resources tab and the Time Sheet list read.
What it is for
The time sheet is the record of hours. It does not cost them and posts nothing.
The rule people get wrong: as delivered, the Project and Category columns of the lines are hidden by the configuration, so a line cannot name a project and its hours reach no project. See If something looks wrong.
Every field in plain words
Header
| Field | What it means | What to put |
|---|---|---|
| Time Sheet No | The number | Required unless the company numbers time sheets automatically |
| Resource Type | What is being timed | Required. Worker, Machine, Tool or Location |
| Time Sheet Format | Days or time slots | Required. Date (the default) or Time |
| Date From, Date To | The days covered, for format Date | At most 48 days apart |
| Date From, Time From, Time To | The day and the hours covered, for format Time | Time To after Time From |
| Interval (Months) | The length of one slot, for format Time | In hours, despite the label: 0.5 to 20 |
The header is chosen before Create and fixed after it: the columns are built from it.
Lines
| Column | What it means |
|---|---|
| Resource Group, Resource, Name | Who or what worked |
| Service Order | A service order the hours belong to |
| Total | The sum of the slot columns, worked out |
| One column per day or slot | Headed with the date (format Date) or the time range (format Time). Hours per day for Date; minutes per slot for Time |
The arithmetic
- Format Date: one column per day from Date From to Date To. A cell takes at most 24.
- Format Time: one column per Interval between Time From and Time To, at most 48 columns. A cell takes at most Interval x 60 minutes.
- Total = the sum of the line's cells. Lists turn minutes into hours.
How to configure it
Make resources and resource groups. To book hours to projects, the Project and Category columns of the lines must be shown by the configuration; a company setting cannot show a column the configuration hides.
Scenarios
- A crew's week on site. Resource Type Worker, Format Date, Monday to Saturday. One line per worker, hours per day.
- A crane booked by the hour on one day. Resource Type Machine, Format Time, 08:00 to 17:00, Interval 1. One line, minutes per slot.
What it is connected to
- Project Estimation - the Resources tab reads the hours written out by Save.
- Project - the Timeline counts the time sheets that name it.
- Project lists and reports - the Time Sheet list.
If something looks wrong
- "Difference between Field: Date From & Field: Date to should be less than 48". Split the period into two time sheets.
- "Field: Time To cannot be less than Field: Time From". Swap the times.
- "Difference between Field: Time From & Field: Time to should be less than 48". Too many slots: widen the Interval or shorten the hours.
- "There can not be more than 24 hours in a day". A day cell over 24. The cell is reset to 0.
- "There can not be more than ... minutes". A slot cell over the interval in minutes. The cell is reset to 0.
- Hours do not show on the project. The lines carry no project: the Project column is hidden as delivered. Ask for the column to be shown in the configuration.
