Billing Proposal

A Billing Proposal is what is billed now on a Project Contract. Choose the contract, and its billing lines come in with the quantity not yet billed. Lower a quantity to bill part of a line. Tax is worked out on each line.

What it is for

The proposal records what has been billed against each contract line, so the contract knows what is still open. It is the Billed figure on the Project Profitability and Contract Billing Status lists.

The rule people get wrong: the proposal is the end of the module. It raises no customer invoice and posts nothing. The invoice is made on Customer Invoice in receivables.

How it fills

  1. Choose the Customer, then the Project Contract, and if you want one Project.
  2. Every billing line of the contract that still has an open quantity comes in, with the quantity not yet taken by earlier proposals and its amounts in the same proportion. A line with no quantity on the contract always comes in.
  3. Lower a quantity to bill part of a line, or delete lines not billed now.
  4. Save. The quantity on each contract line, added over this proposal, may not pass what was open.

Scenarios

  • The second milestone of a building contract is reached. Choose the contract; the first milestone is fully billed and does not come in. Delete the third milestone line, save.
  • Twelve of 24 maintenance visits made. The visits line comes in with 24 open; lower it to 12.
  • The customer needs a tax invoice. Type it on Customer Invoice in receivables, with the proposal's amounts. Nothing carries the lines across.

What it is connected to

If something looks wrong

  • "Line ...: quantity ... is more than the ... still open on the contract." That contract line has less left to bill. Lower the quantity.
  • A contract line does not come in. It is fully billed on earlier proposals.
  • The customer is not in the list. The customer has no project contract.
  • No invoice appeared in receivables. A billing proposal makes none. Raise the invoice on Customer Invoice.
