General Ledger Account
The account master: number, name, nature and group within a chart. It is shared by every company on that chart. A company cannot post to it until it is released to the company on Release Account in Legal Entity, or made and released in one step on Account in Legal Entity.
Every field in plain words
| Field | What it means | What to put |
|---|---|---|
| Chart | The chart of accounts | Required. Locked after Create |
| Account | The account number | Given on Save as the next number of the group's range. Typed by you when the company has Custom Number Range on General Ledger Setting. Unique in the chart |
| Name | The account's name | Required. Unique |
| Account Nature | Asset, liability, equity, revenue or expense level | Required. Locked after Create |
| Account Group | The group of the chart | Required, from the groups of that nature. Hidden under Custom Number Range |
| Block | Stop all postings to the account, in every company |
How to configure it
Once the account is released to any company, every toolbar button is switched off here: the master can no longer be edited or deleted. Get the name and group right before releasing it.
If something looks wrong
- "Account Group: ... is not configured in Chart: ..." The group has no number range in the chart.
- "Account Limit has been reached for this Account Group: ..." Widen the range on Account Grouping and Number.
- "Same Account No already exists" With Custom Number Range, type a free number.
- "Account - cannot delete this Account as it's predefined" Block it instead.
- "Line ID: ... - Account ... is blocked" on a voucher: Block is ticked here.
