General ledger lists and reports

The general ledger is read through lists (which open on screen and can be exported), printed reports, and board tiles. Each is listed here with its menu place and the criteria it asks for. A star marks a criterion that must be filled. How lists, boards and reports behave in general is on Lists, boards and reports.

What the criteria do:

  • Posting Status - leave empty for all, or pick Posted to leave parked vouchers out.
  • Required Reversal - include reversed vouchers and their reversals. Left unticked, both are left out.
  • Required Zero Values - show accounts with no balance too.
  • Exclude Financial Year Closing - leave out vouchers of the year-closing journal nature.
  • Reporting Structure - lay the figures out by the dimensions of a Reporting Structure.

How the statements are built:

  • The Balance Sheet groups accounts by nature, category and sub-category. Every revenue and expense account's balance is shown under the Retained Earning Account of General Ledger Setting, so the sheet balances without a closing entry.
  • The Income Statement groups by the Account Category set on each account in Release Account in Legal Entity: Operating Revenue and Cost of Sales give Gross Profit; Operating Expenses and Other Expenses give Net Operating Income; Other Income gives Net Income. An account with another category, or none, falls outside these three groups.
  • The Cash Flow Statement treats the accounts of the sub-categories on the Cash flow tab of General Ledger Setting as cash.
  • Vouchers that were rejected in an approval, and cancelled vouchers, are left out of the trial balances.
