Budget Period

The span a budget covers, such as the financial year, and the periods it is split into, usually months. Every budget document picks one, and its lines are spread across these periods.

What it is for

It gives every budget the same calendar. When a budget line is added, it gets one breakup line per period here. The spending check finds the period that holds the document's date.

The rule people get wrong: closing a period here stops spending against it. A document whose date falls in a period with status Closed is refused for every account budgeted on this Budget Period.

How to configure it

One period line per month suits most companies. Periods must not overlap. The screen allows Create, Edit, Delete and import.

Scenarios

  • A company budgets by month for a July to June year. Header 1 July to 30 June, twelve lines, one per month, all open. At month end, set that month's line to Closed if no more spending may be booked against it.

What it is connected to

If something looks wrong

  • "Budget Period - Date From cannot be greater than Date To". Correct the header dates.
  • "Budget Period - Line ID: ... - Line Dates are always in between Header Dates". A line lies outside the header span.
  • "Period : ... - Line ID: ... is duplicated with Line ID: ...". Two lines have the same Period code.
  • "... - Period cannot be empty" / "... - Period Status cannot be empty". Fill both on every line.
  • "... - Budget Period - Date From ... cannot be greater than Date To ...". A line's dates are the wrong way round.
  • "Line ID: ... - Budget Period ... overlaps with Line ID: ... - Budget Period ...". One period lies inside another.
  • "Budget Period cannot be empty", "Name cannot be empty", "Budget Period already exists". Fill the code and name; use a new code.
